Our client, one of Canada’s fastest growing national business law firms, is looking for a Specialist, Real Estate to join their Toronto office! This position will be responsible for providing administrative and practice support, education, training and direction to the law clerks and lawyers in the Real Estate practice group including, but not limited to the following:

  • Manage delegation of work to law clerks based on capacity, skill level and client history to properly address work demands, stress levels and competencies;
  • Work with law clerks and lawyers to address complicated transaction issues, problem-solve and develop solutions relating to work style and personality conflicts, including providing support;
  • Work with lawyers and Legal Talent team to address work style challenges and performance issues with law clerks;
  • Work with law clerks and lawyers to develop and maintain standardized approach to transaction documentation, reporting and record books;
  • Work with lawyers and law clerks on business development initiatives, including the development of department and firm promotional materials;
  • Work with practice group leaders and Legal Talent team to address department demands, recruitment needs, efficiency improvements, support staff allocation, law clerk performance and other issues;
  • Liaise and work with third-party product and service providers, such as title insurers, software providers and government bodies, to establish and/or build relationships, arrange for educational seminars about products/services;
  • Act as resource and problem-solver for real estate law clerks, real estate lawyers and law clerks and lawyers in other departments and other offices; and
  • Work with lawyers and law clerks to address, develop and manage departmental initiatives that boost morale, promote a team environment and encourage inclusion.

 

Key Responsibilities:

  • Manage departmental workflow to law clerks;
  • Manage, coach and mentor team of law clerks;
  • Educate law clerks in practice area, effective practice management and best practices;
  • In collaboration with the Legal Talent team, work on performance standards, performance evaluations and information collection;
  • In collaboration with the Legal Talent team, build and improve on docketing techniques and captured hours (billable and non-billable);
  • Build and improve on departmental structures and effective and efficient use of law clerks;
  • Develop or improve department efficiencies, methodologies and practices;
  • Develop and maintain effective precedent system;
  • In collaboration with the Learning Team, develop and deliver continuing education/professional development seminars for real estate department (lawyers and law clerks) in other departments and other offices;
  • Develop and deliver educational workshops for law clerks and assistants;
  • In collaboration with the Learning Team, develop and deliver continuing education/professional development seminars for clients and external firm contacts, including course development, presentation development and delivery;
  • Collaborate with various stakeholders to improve department efficiencies, methodologies and practices.

 

Qualifications:

  • Paralegal Certificate and Diploma;
  • Undergraduate degree or higher (preferred) in management or related discipline;
  • 15 – 20 years of varied real estate experience with complex commercial real estate transactions in a fast paced, high-volume environment which requires excellent written and verbal communication skills as well as excellent organizational and analytical skills;
  • Good drafting and mathematical skills required;
  • Experience in the planning and delivery of adult education would be an asset;
  • Always continuing education to keep abreast of changes in real estate and people management techniques;
  • A proven track record of working in a matrix environment and building value add relationships;
  • Ability to manage change, ambiguity, risk and evolving direction of the Firm;
  • Superior project management skills with the ability to prioritize and manage concurrent, multiple initiatives;
  • An understanding of the performance drivers in a service-oriented business, combined with the ability to align resources to provide optimal support for objectives;
  • Possess strong interpersonal and communication skills;
  • Sound ability to handle multiple competing demands;
  • Possess the ability to exercise independent judgment;
  • Proficient with any of the following practice specific software (but not limited to those listed): Teraview, Conveyancer, Unity, LawyerDoneDeal, and HotDocs;
  • Experience with Aderant (generating reports, accessing timekeeper and matter information for analysis, collecting statistical support) is an asset;
  • Expertise in using Powerpoint, Microsoft Word, Excel, Outlook;
  • Up to date and superior working knowledge of legislation, regulations, text, rules and procedures relevant to applicable practice areas.
